Church Sermon Notes("we," "us," or "our") operates the Church Sermon Notes platform (the "Service"). This Privacy Policy explains how we collect, use, disclose, and protect information about you when you use our Service. By using the Service, you agree to the practices described in this policy.


1. Who We Are and Who This Service Is For

Church Sermon Notes is a software platform designed exclusively for Christian churches, religious congregations, and their members. The Service is not intended for use by individuals or organizations outside of a church or faith-based ministry context. By registering, you represent that you are acting on behalf of a church or faith-based organization.

2. Information We Collect

2a. Information You Provide

  • Church administrators and pastors: name, email address, church name, church website, billing information (processed by Stripe — we do not store full card details), and sermon content (manuscripts, notes, AI-generated resources).
  • Church members: name, email address, and any personal notes or annotations you add to sermon notes.
  • All users: account credentials and any information you voluntarily submit through the Service.

2b. Information Collected Automatically

  • Log data: IP address, browser type, pages visited, time and date of access.
  • Cookies and similar technologies used to maintain sessions and remember preferences.
  • Usage data: which features you use, sermon engagement metrics (note-taking, blank-fill activity, PDF downloads).

2c. Information from Third Parties

We integrate with third-party services including Stripe (payments) and Anthropic (AI generation). Please review their respective privacy policies for how they handle your data.

3. How We Use Your Information

We use the information we collect to:

  • Provide, maintain, and improve the Service.
  • Process payments and manage subscriptions.
  • Generate AI-powered sermon resources using your manuscript content (processed via Anthropic's API; see Section 8).
  • Send transactional emails (account confirmation, password reset, sermon publication notifications).
  • Send marketing and promotional communications to church leaders, pastors, and administrators who register a church on the platform. These communications may include product updates, new features, tips for using the Service, and offers relevant to church leadership. You may opt out of marketing emails at any time by clicking the unsubscribe link in any email or contacting us at hello@churchsermonnotes.com.
  • Analyze aggregate usage trends to improve the platform.
  • Comply with legal obligations and enforce our Terms of Use.

4. Legal Basis for Processing (GDPR)

If you are located in the European Economic Area, we process your personal data under the following legal bases:

  • Performance of a contract: to provide the Service you have signed up for.
  • Legitimate interests: to improve the Service, prevent fraud, and send marketing to church leaders who have registered an account (you may object at any time).
  • Consent: where you have given explicit consent (e.g., optional notifications).
  • Legal obligation: to comply with applicable law.

5. How We Share Your Information

We do not sell your personal information. We may share information with:

  • Service providers: Stripe (payments), Anthropic (AI processing), email delivery providers, and cloud hosting providers — solely to operate the Service.
  • Your church's members: sermon notes and resources you publish are shared with members of your church on the platform.
  • Agency administrators: if your church is managed under an agency account, the agency may have access to church-level data including member counts and sermon engagement metrics.
  • Law enforcement or legal process: when required by law or to protect our legal rights.
  • Business transfers: in connection with a merger, acquisition, or sale of assets, with notice to you.

6. Data Retention

We retain your personal data for as long as your account is active or as needed to provide the Service. Sermon content, notes, and AI resources are retained for the life of your account and deleted within 90 days of account termination. You may request earlier deletion by contacting us at hello@churchsermonnotes.com.

7. Your Rights and Choices

  • Access and correction: you may access and update your account information at any time through your account settings.
  • Deletion: you may request deletion of your account and all associated data using our Data Deletion Request form, or by contacting hello@churchsermonnotes.com.
  • Marketing opt-out: you may unsubscribe from marketing emails at any time via the unsubscribe link in any email.
  • Data portability: upon request, we will provide an export of your sermon content and notes data.
  • GDPR / CCPA rights: residents of the EU and California have additional rights. Please contact us to exercise them.

8. AI Processing and Your Manuscript Content

When you use AI-powered features (generating sermon notes, discussion questions, devotionals, etc.), your sermon manuscript is sent to Anthropic's API for processing. We do not use your manuscript content to train AI models. Anthropic's data handling is governed by their Privacy Policy. We recommend not including personally identifiable information of third parties in manuscripts submitted for AI processing.

9. Cookies

We use essential cookies to maintain your login session and remember your preferences. We do not use third-party advertising cookies. You can disable cookies in your browser settings, but doing so may prevent you from accessing certain features of the Service.

10. Security

We implement industry-standard security measures including encrypted data transmission (HTTPS), hashed passwords, and access controls. No method of electronic transmission or storage is 100% secure; we cannot guarantee absolute security but take reasonable steps to protect your data.

11. Children's Privacy

The Service is not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child under 13 has provided us information, please contact us and we will delete it promptly.

12. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify registered church administrators by email and update the effective date above. Continued use of the Service after changes constitutes acceptance of the updated policy.
